Sussex-based Eventflow Launches AI Assistant to Simplify Event Delivery

Sussex-based event technology company Eventflow has announced the launch of Eventflow AI, a new AI-powered assistant designed to reduce the time and cost involved in running large-scale events.

At trade shows and conferences, organisers typically provide hundreds of pages of information to participating businesses covering logistics, deadlines and requirements. In practice, much of this information goes unread, resulting in a high volume of repetitive questions and manual support.

Eventflow AI addresses this by allowing users to ask simple questions such as “How can I order power?” or “Where can I find the marketing assets?” and receive instant, accurate answers based on the information for that specific event.

By acting as a first line of support, the assistant reduces the need for organiser intervention, helping teams manage complex events more efficiently and at scale.

Early Adoption from Major Events

The feature is already in use at international events. Eliska Martinikova, Partnership Manager at BTC Prague, said:

“I love it! Since our entire company is AI-oriented, this will be a hit across the team. Of course, it should also be very helpful to the exhibitor, which is the main value.”

Katie Reay, Exhibition Manager at the multi-award winning BIBA Conference, added:

“Eventflow AI is amazing. It feels like a landmark update for us and will hopefully save so many questions from exhibitors by helping them find the answers they need much faster.”

Built for Scalable Event Operations

Eventflow AI is designed specifically for the operational challenges of large events. Unlike general-purpose chatbots, it is restricted to the data for each individual event, ensuring answers remain accurate, relevant and secure.

Powered by Google Gemini and hosted on Eventflow’s cloud infrastructure, the assistant supports multiple languages and maintains strict separation between event datasets. It is also designed not to generate speculative responses. If the required information is not available, it directs the user to the organiser.

This approach not only improves reliability but also creates a feedback loop. Unanswered questions highlight gaps in event information, helping organisers improve processes over time and reduce future support demand.

Christian Skelton, Co-Founder of Eventflow, said:

“Running events at scale comes with a huge amount of repetitive communication. Eventflow AI removes a large part of that workload by giving users instant access to the information they need.

For organisers, this means fewer emails, lower operational overhead, and more time to focus on delivering high-quality events. Because the AI works from existing event content, there is no additional setup required.”
